  • Urgent but Not Important tasks: Minimize engagement with tasks that may seem urgent but don’t significantly contribute to long-term goals.  This is where people pleasers struggle the most.
  • Not Urgent and Not Important Tasks: Eliminate or minimize engagement with these low-priority tasks to maximize productivity.  These are often the ‘feel good’ tasks like constantly checking emails, social media or chatting it up with people around you.

Harnessing Focus and Breaks with the Pomodoro Technique

The Pomodoro Technique is a time management method that promotes focused work intervals and regular breaks. Here’s how it works:

  • Set a timer for 25 minutes, called a “Pomodoro,” and commit to working on a single task with complete concentration during that time.
  • After each Pomodoro, take a short break of 5 minutes to rest, stretch, or clear the mind before diving back into the next Pomodoro.
  • After completing four Pomodoros, take a more extended break of 15-30 minutes to recharge, reflect, and rejuvenate.

The Art of Scheduling with Time Blocking

  • Identify tasks and responsibilities, categorizing them based on similar nature and priority.

Identify repetitive tasks and initiatives, areas where processes can be outlined, streamlined and/or automated. Write down and refine these mission-critical processes to save time, increase efficiency, and allow for greater focus on high-value activities. Doing so will also improve the overall performance and effectiveness of your team, those who play a role in executing these processes. The synergy created will improve morale and capacity as well. Where possible, use tools or software to automate and reduce the workload even further.
